I need a repeatable, end-to-end AI workflow that speeds up electronic security estimating. Every week I receive full tender packs: the scope drawings and specifications come through as large PDFs and the quotation/BOM arrives in Excel. The job is for you to design, build and document a process that: • reads every page of the PDF set, identifies the electronic security items (access control, CCTV, intercom, intrusion, etc.) and lifts the relevant quantities and notes; • cross-checks those findings against the Excel BOM so I can see mismatches immediately; • pushes the confirmed counts straight back into an estimating sheet; • and finally produces a proof-of-count markup PDF. The markups must use Bluebeam security symbols so the client can visually verify that every device has been counted. The workflow can be scripted in the language or platform you feel is most efficient—Python with OpenAI functions, Google AutoML, Power Automate, or another approach you suggest—as long as a non-coder like me can rerun it on future tenders with minimal setup. Clear documentation and a short screen-capture walk-through are part of the hand-over. Accuracy and repeatability are the key acceptance tests: on a sample project I will compare your output counts and Bluebeam-style markups against a manual take-off; we will tweak once to reach parity and then the project is complete.

Hello Client, This is definitely possible. I can see you're spending way too much time manually counting devices across large PDFs and chasing mismatches between drawings and BOMs — and what you really want is a workflow that handles the heavy lifting, flags discrepancies instantly, and gives you visual proof of count so you can focus on quoting instead. I'm confident I can deliver exactly that. Thank you, Ayaz Akhtar

Hi, You need to automate the extraction of security devices from complex tender PDFs and cross-reference these against Excel BOMs to ensure 100% takeoff accuracy. The goal is a repeatable pipeline that generates Bluebeam-ready markup files to eliminate manual counting errors. I recently built a similar automated pipeline for traffic monitoring that utilized YOLO-based object detection to map and count assets from high-resolution imagery. For your workflow, I suggest using Python with a LayoutLM-based architecture to extract spatial coordinates from PDFs, which allows for precise plotting of Bluebeam symbols. I have delivered multiple computer vision and automation projects on this platform, consistently achieving 95%+ accuracy in automated asset detection. Could you share a sample PDF and Excel BOM so I can verify the symbol density for the markup engine?

Hi, I read your project "Security Tender AI Workflow" and I can help with it. I would focus on automation flow, accurate extraction, and clear output structure. I noticed the relevant skills include Python Data Processing Electronics Excel PCB Layout Automation Power Automate OpenAI. My approach: 1. Review the current setup and confirm the exact requirements. 2. Implement the requested work in a clean, maintainable way. 3. Test the result and provide a clear handover with any setup notes needed. Clarification questions: 1. What source systems, output fields, and validation rules should the automation or data flow follow? 2. Are there any infrastructure, security, scalability, or maintenance constraints I should follow? 3. What existing code, documentation, assets, or account access should I review before starting? Best regards, Houssame

Good day! We can build a repeatable AI-powered estimating workflow that automates the entire security takeoff process, reducing manual counting while maintaining accuracy and auditability. Our approach will combine PDF drawing analysis, OCR/computer vision, and AI-assisted classification to identify and count access control, CCTV, intrusion, intercom, and related security devices across tender packs. The workflow will extract quantities and notes from drawings and specifications, then automatically compare results against your Excel BOM to highlight discrepancies instantly. Confirmed counts will be pushed directly into your estimating workbook, while a proof-of-count PDF will be generated with device markups using Bluebeam-compatible security symbols, providing a clear visual validation layer. The process will be designed for future tenders, requiring minimal user interaction beyond uploading PDFs and spreadsheets. We recommend a Python-based solution leveraging AI vision models, structured Excel automation, and PDF markup generation for maximum flexibility and accuracy. The final delivery will include full documentation, a screen-recorded walkthrough, and refinement against a sample project to ensure parity with your manual takeoff process. Our team is prepared to start right away.

Creating a repeatable AI workflow for electronic security estimating sounds like a great challenge. I see you're looking to speed things up, and I have around 10 years of experience with Python and automation tools like Power Automate. Your goal of developing an efficient process is crucial for enhancing productivity and accuracy in estimating. Some similar things I've built include a regional booking platform for a tutoring company, an internal CRM for a property agency, and a React Native field-reporting app. Let’s make your workflow both effective and user-friendly. Could you please clarify the following questions to help me better understand the project? Q1: What specific features do you envision for the AI workflow in terms of data processing? Q2: Are there any existing tools or systems that this workflow needs to integrate with? Q3: How do you plan to handle the data inputs for the estimating process?

Hello, I have reviewed your requirement for building an AI workflow to automate electronic security estimating from PDF tender packs and Excel BOM files. I can build a simple and repeatable system that reads your drawings and specifications, extracts key security items (CCTV, access control, alarms, intercoms, etc.), and compares them directly with your Excel BOQ/BOM. The system will highlight any missing or mismatched items and automatically push verified quantities into your estimating sheet. I will also include a feature to generate a marked-up PDF using standard Bluebeam-style symbols so you can clearly see where each device was counted. The workflow can be built using Python + AI tools or Power Automate depending on what is easiest for you to run later without technical skills. Everything will be designed so you can reuse it for future tenders with minimal effort, and I will provide clear documentation plus a short walkthrough video showing how to run the process.

The heart of this is turning a messy tender pack into a device count you can trust and rerun every week, with a Bluebeam-style markup so your client can eyeball that every CCTV, reader, intercom and intrusion device was counted. Two things decide if it is reliable: reading PDFs whose layout shifts every week, and placing the count markers accurately. Read: parse every page of the PDF set, handling both digitally-selectable PDFs and scanned/flattened drawings (OCR fallback). I use an LLM with structured function-calling plus layout-aware extraction (LayoutLM-style) to pull the electronic security items with quantities, notes, location and source page into a strict table, robust to the format changing between tenders rather than tied to fixed coordinates. Reconcile: cross-check that table against your Excel BOM line by line, flag over/under counts and items in one but not the other, then write confirmed counts straight into your estimating sheet. Prove: generate a proof-of-count markup PDF that stamps Bluebeam security symbols at the counted devices so the take-off is visually verifiable. Built for a non-coder: one folder in, one command out, with clear docs and a short screen-capture. I would tune it once against your manual take-off on the sample until counts hit parity. I do exactly this AI document-to-data automation, so the accuracy-and-repeatability acceptance test is what I build around.

I’ve built PDF-to-BOM extraction pipelines before—raw PDF parsing with PyMuPDF, then OCR fallback for scanned drawings—so this is right in my wheelhouse. My approach: I’ll script a Python pipeline using PyMuPDF for text extraction, OpenCV for symbol detection, and pandas to cross-check against the Excel BOM; mismatches flag in a diff sheet. Confirmed counts auto-populate an estimating sheet via openpyxl, then generate a Bluebeam-compatible markup PDF with predefined symbols for each device type. Validation loop: sample tender run, manual parity check, single calibration pass if needed. Deliver README with install steps, sample inputs, and a 3-minute Loom walkthrough. I can start immediately.
