About the Role The Sales and Success Admin plays a critical role in supporting the sales and client success teams by ensuring seamless coordination, preparation, and follow-up for sales calls and client interactions. This position focuses on maintaining consistency, organization, and efficiency in pre-sales preparation, meeting documentation, and sales process optimization. Key Responsibilities Sales Call Preparation & Coordination Gather and consolidate key prospect details to streamline sales calls. Set up internal prep meetings for sales calls, ensuring all necessary stakeholders are aligned. Schedule and manage Google Calendar events for prep meetings, maintaining a consistent naming convention and including relevant details (referral source, location, agenda, notes from prior calls, and call recordings). Verify accessibility of shared resources, such as demo sites, email credentials, and sales materials, before sales calls. Maintain and organize comparison charts, one-sheets, and prospect documentation in the Prospect Bible. Sales Call Follow-Up & Documentation Track completed sales calls and ensure proper documentation is recorded. Retrieve and upload Gong call recordings to the appropriate Slack channel for internal reference. Maintain an up-to-date repository of sales call notes, action items, and pending deliverables. Assist in developing and refining call agendas based on previous discussions and prospect needs. Process Optimization & Support Work closely with sales and success teams to improve workflow efficiency. Ensure all sales team members have easy access to relevant materials, reducing miscommunication and increasing productivity. Maintain structured and organized records to ensure consistency across client interactions. Who You Are Highly organized and detail-oriented, capable of managing multiple tasks and deadlines. A strong communicator who ensures clarity in internal coordination. Comfortable working in fast-paced environments where priorities may shift. Proficient in Google Workspace (Docs, Calendar, Drive), Slack, and Gong (or willing to learn quickly). A problem-solver who can proactively identify gaps in processes and suggest improvements. Preferred Qualifications Experience in sales coordination, sales operations, or administrative support is a plus. Familiarity with CRM tools, call recording software (e.g., Gong), and meeting scheduling best practices. Previous exposure to a B2B sales environment is beneficial but not required.
