Extremely busy Applied Behavioral Analysis (ABA) therapy company Abacus Therapies is looking for an experienced virtual executive assistant who flourishes under pressure and maintains a professional manner under any and all circumstances. This person is disciplined, efficient and has the ability coordinate and follow-up to get things done. We are seeking someone with an exceptional eye for detail who can take the ball and run with it - at a minimum you must demonstrate stellar computer skills, a leader who is organized, has a sense of humor, and is a fast learner with ability to think on your feet. Fluent English phone and writing skills a must. Ability to work mostly during our business hours a must (our office hours are 9am to 6pm New York/Miami time), due to team and insurance follow up / phone call activities.
This is a full-time position, with benefits.
Responsibilities include assisting with:
1. Scheduling Assistance
-Scheduling between therapists and clients (primarily via phone and text)
2. Billing Assistance
-Obtaining benefits and authorizations from insurance companies based on company guidelines
-Assist with managing billing and collections with clients, insurance companies and billing provider
-Assist with managing accounts receivable
-Booking payments from clients and insurance companies into our practice management and accounting system
3. HR Assistance
-Executing intake process for new employees and clients
-Ensuring therapists and staff are following company procedures and guidelines
-Perform new therapist onboarding procedures to get new team members hired and ready
-Assist in administration of benefits for staff
-Screening new employment candidates based on provided guidelines
-Weekly preparation and audit of employee time sheets
-Fluent English phone and writing skills
-Very proficient with using web and mobile applications
-Strong willingness to constantly learn
-Self-starter, confident and excellent judgment
-Very reliable high-speed internet service for IP telephony for phone calls, etc.
