Here are some more details about what we would be looking for from your staff:

2) Picture capture & correct naming
The website is [url removed, login to view] and we use the following format for all our products:
Products are either individuals (PF_ID is also the SKU_ID) or grouped together (Individual SKU_IDs) under one Product code (what we call a PF_ID) with drop downs etc. Where items are SKUs they don't need the description or image repeated as it comes from the Parent of the Group.
Visible on the website is both the Product code and Maufacturer part code essentially the manufacturer part code is the Product code less prefix (e.g PLA_). When a drop down option changes it changes the manufacturer code etc.

Above the PLA_ means it is a Plastimo product and can be found on [url removed, login to view] using the search and product reference search button entering 37800
Here we didn't have a picture before so I have saved down the Plastimo picture and imported it.
Not all products are on their website (most are) so we would supply a Plastimo catalogue (584 pages) (in English) together with a spreadsheet which says which page the product can be found on for reference in the case of exceptions.
We will supply a report to work within which lists only the products missing either pictures, short descriptions or long descriptions as our website has some with pictures / descriptions and some without. This way the work can be focused.
For other suppliers we may need to go from their catalogue only as they do not have a website. For these suppliers the data inputter would start at the start of the catalogue and do CTRL + F in the spreadsheet to find the line with the same product code. Where they can't find the item they move on to the next one etc. We also may point the data inputer to a competitors website we know have word for word copied the catalogue already and who have the same product codes. This would save retyping.

We also have some suppliers who have given us a PDF CD of their catalogue, these would also be used to search and find product descriptions and also extract pictures. The pictures would need to be cut from the pdf and pasted into a basic art package and saved in way described below. Some of these pdfs show 1 picture for several products (listed beneath) so at the same time they should be saved as the different product codes to enable all the products to have a picture. Similarly they may all take the same description if that is how it is in the catalogue.
Whilst our website uses 3 sizes of pictures 100 x 100, 240 x 240 and 340 x 340 (pixels) each with reference _S, _L, _XL after the PLA_37800, we can rename and resize the photos ourselves (we use photoshop CS2). All we need for them is to have the picture saved with the same start as the product code e.g PLA_37800 in the same dimensions as they were originally.
Where 2 or more pictures are found they should still be saved but should use a generic format e.g PLA_37800second , PLA_37800third to enable them to be searched for once we have them all in a folder. Note the main picture should remain as [url removed, login to view] etc.
The website has the ability to list a products features to enable comparison. This is easier done on a brand by brand basis as their features are usually named in the same way e.g say a Garmin GPS would have features such as
Waypoints : 10,000
Screen Size: 3 inch
Battery Type: Li-ion
Now this would probably be done best as a separate excerise once your staff got to grips with the types of products etc. It is more technical and requires the data to be input as follows:
Waypoints == 10,000
Screen Size == 3 inch
Battery Type == Li-ion
The number of == and ----- are important for the ecommerce programme to recognise it.

This would be phase 2 of the work once the site had the core pictures in and data inputed.
Additionally we are moving to include more large suppliers and thus there would be repeat work to get this included in the website.
I've attached a spreadsheet which shows the product we've been talking about. It's not the normal data spreadsheets we work with (these have lots of columns) as they are on my laptop but it shows the basic entry fields. The red columns is all that we require inputing. The green colomn would not be required to be entered but gives how we would expect the picture to be named.
