I’m organising a public Fly-in on 21 November at Caloundra on the Sunshine Coast and need an experienced hand to guide the full event-planning process from now through show day. This is essentially a car-show concept but for Light Sport Aircraft, so everything has to cater to pilots, ground exhibitors and visiting spectators alike. My focus is on solid, professional event planning: locking down permits with the airport authority, mapping out aircraft parking and crowd flow, sourcing vendors, arranging insurance and safety compliance, scheduling demonstrations, and shaping a realistic run-sheet that keeps the day moving. If you also bring ideas for sponsorship or promo, great—we can weave those in—but the core brief is the planning framework that lets the rest fall into place. You’ll work with me remotely at first, then be available for check-ins (video is fine) as milestones are hit, and finally deliver a detailed operational plan we can hand to the on-site team for execution during bump-in, the event day itself, and bump-out. When you reply, please share past work that shows you’ve pulled off outdoor aviation, motorsport or similarly complex, safety-sensitive public events. That track record will be the key factor in shortlisting. We’ll kick off as soon as the right person is found and run continuously until the week of 21 November, so there’s plenty of scope to refine every detail. Hi, I’m Jessica, and I have several years of experience planning and coordinating complex outdoor events with strict safety, logistics, and regulatory requirements. I’m highly detail‑oriented, structured, and comfortable managing multi‑stakeholder environments, including aviation‑style, motorsport, and large public events where permits, crowd flow, risk management, and operational clarity are essential. My approach is organized, proactive, and focused on building a planning framework that keeps everything running smoothly from bump‑in to bump‑out. In past roles, I’ve coordinated permits with authorities, mapped site layouts, managed insurance and safety compliance, sourced vendors, scheduled demonstrations, and developed run‑sheets that keep event operations tight and predictable. I’m skilled at translating complex requirements into clear, actionable plans that an on‑site team can execute confidently. Deliverables I can provide include: - Full operational plan covering permits, safety, insurance, and compliance - Aircraft parking layout, crowd‑flow mapping, and exhibitor placement - Vendor sourcing and coordination - Demonstration scheduling and run‑sheet development - Clear bump‑in, event‑day, and bump‑out procedures - Regular check‑ins and milestone tracking through to 21 November I’d be glad to help deliver a safe, well‑run Fly‑in at Caloundra with every detail locked in ahead of show day. Best regards, Jessica

I can help build a practical operational plan for the Caloundra Rotax Fly-In, with the detail needed for pilots, exhibitors, spectators, airport stakeholders, and the on-site team. I’d start by mapping permits, airport authority requirements, aircraft parking, pedestrian flow, vendor zones, insurance, safety compliance, demo scheduling, and a clear run-sheet for bump-in, show day, and bump-out. My focus would be a safety-first framework that keeps the event professional, realistic, and easy to execute, while leaving room for sponsorship and promotion ideas. I can share relevant experience with complex outdoor or safety-sensitive event planning and support regular milestone check-ins. Can we schedule a call to review current approvals and planning status?

Hello, I understand you need full event planning support for the Caloundra Rotax Fly-In on 21 November, including aviation coordination, permits, safety compliance, aircraft parking layout, crowd flow, vendor setup, scheduling, and a complete operational run-sheet for show day execution. I will develop a structured, aviation-aware event plan covering all key components required for a safe and well-organised Fly-In. This includes coordination with airport authority requirements, zoning for aircraft parking and public areas, ground movement planning, emergency access routes, insurance and compliance considerations, vendor and exhibitor placement, and a clear minute-by-minute operational schedule for bump-in, event day, and bump-out. The final deliverable will be a comprehensive operations manual that can be handed directly to your on-site team, ensuring smooth execution across all phases. It will also include risk considerations and contingency planning to support safe management of both pilots and spectators. I can refine the plan iteratively as approvals and logistics evolve leading up to the event. I’m ready to start immediately and work closely with you through to event delivery. Hello, I understand you're seeking an experienced event planner to guide the Caloundra Rotax Fly-In, focusing on permits, safety, vendor management, and operational planning. I'm Taiwo, a UK-based Senior Software Developer, but my experience extends to project management and ensuring smooth operational execution. My background with top organizations like IBM, UK Government, BMW, and Sky has instilled a meticulous approach to planning and risk mitigation. Additionally, my master's degree in Cyber Security gives me an edge in understanding safety and compliance requirements. While not directly aviation-focused, my experience with complex projects like managing projects for IBM and building platforms with a focus on security, reliability, performance, and maintainability will be beneficial. My approach involves: ⏺ Initial consultation to understand your specific vision. ⏺ Securing necessary permits and addressing compliance standards. ⏺ Creating detailed plans for aircraft parking, crowd management, and vendor set-up. ⏺ Delivering a comprehensive operational plan for on-site execution. Let me know if you'd like to discuss my approach in more detail. I'm available to start immediately.
