I need an excel expert

We are an agricultural contracting company and I need some help with how we record jobs. we are only a small company with 2 employees and 4 sub contractors. rather than using paper which can be lost we have started using an excel spread sheet that turns into a jobcard on their phones. its working well but I am having trouble dechipering their infomation and flicking through so many windows when i invoice and if its even possible i want the seperate job cards to come to 1 spreadsheet and have some information pre loaded so its easy for them to pick what job or machine they used. . ive looked into apps but they dont really have what we need or looking for. maybe someone has some ideas
what im asking might be impossible but somehow i figured out what we have but i just need help to make it better
