Site Surveying Database
Brief - write a basic Filemaker Pro 12 advanced database for use in surveying products that exist at various sites, making proposals to replace them with new items. The database will be run on an iPad by users on the road, using the Filemaker Go application.
Data Collection Process
1 - Create a new Site
Start by adding a new survey location. The location should contain basic information such as address, contact name etc.
2 – Add a Room to the ‘site’
There will be multiple areas, have a ‘Add’ button to add as many or as few areas to a site.
Each area will have multiple data fields stored:
- Name (text)
- Description (text)
- Opening Hours (numeric)
- Width (numeric)
- Length (numeric)
- Height (numeric)
- Custom 1 (numeric)
- Custom 2 (numeric)
- The addition of container fields for photographs.
Repeat this process each time a new room is added to the site.
3 – Add an item to the ‘Room’
From the list of added rooms on the site overview, select a room to proceed.
Multiple items will need to be added to each room.
Provide an ‘Add’ button to add new items to the room.
Each item added to the room should store the following information:
- An ‘existing’ item – use a drop down to select this item from a linked data table based on a category column in the data table.
- All the products in the ‘existing’ table that match this category criteria will then be shown to allow one to be selected.
- Once selected, the linked item will bring through a number of numeric values stored against it in the ‘existing items’ data table. (It’s weight for example)
- The quantity of that item existing in the room (numeric)
- A ‘proposed’ item to replace this - use a drop down to select this item from a linked data table based on a category column in the data table.
- All the products in the ‘proposed’ table that match this category criteria will then be shown to allow one to be selected.
- Once selected, the linked item will bring through a number of numeric values stored against it in the ‘new items’ data table. (It’s weight for example)
- The quantity of that item proposed to go in the room (numeric)
- The installation cost of each proposed item
- A notes field (text)
Repeat this process each time a new item is added to the room.
Reporting Process
Once a survey has been completed, provide a view to show a summary of its results:
Page 1 – Overall summary created using numeric figures (for example quantity of exiting vs quantity of proposed, or the combined weight of all the items selected) in a chart / graphical format – this is the total of all the items added to all the rooms on this site.
Page 2 & Onwards – Provide a summary of each room created:
Header – a numeric summary of the items within this room (for example quantity of exiting vs quantity of proposed, or the combined weight of all the items selected). Also sdisplay the first photo added to the room.
Below Header – a summary of each item added to the room:
- Existing Name
- Quantity Existing
- Proposed Name
- Quantity Proposed
- Numerical calculation based on fields populated from the linked data tables
- Numerical calculation based on fields populated from the linked data tables
Repeat this, adding as many pages as are required to show the above summary for each room added to the site (the length of which will vary depending on the number of rooms per site and the number of items in each room).
Export to PDF
Once complete, add reviewed on screen, it should be possible to export this overview to PDF.
When doing so, a list of additional pages (static pdf pages ideally) should be offered as a list of extra content to include.
The user should be able to tick a box next to each optional pdf page, with the selected ones then being added to the PDF export.
Once the pages have been selected, it should be possible to adjust the order of the pages before exporting to PDF file.

The project structure is clear.
FileMaker Go, for using on ipads, does allow to create pdfs.
Question: where do the extra pdf fields/pages take data - from within this system or externally via the clipboard?
