Worker Union - websolutions with new theme

BNF : Bristow Norway Flygeforening (Bristow Norway Pilot union) [login to view URL] Is a worker union representing all of the helicopter pilots with Bristow Norway. By 2017 we will be close to 200 members. It’s not many years since the company had under 50 pilots employed, so the web solutions has really been left behind. Our employer: [login to view URL] On a day to day basis, we get member requests and member issues reported to us by mail. The union leadership concists of 6 people that work rotation. And today we use a shared mail account. So union leadership needs a brand new web portal, that will ease our work and improve the members communication with the union. Current requirements: 1. New Theme, new website The new theme needs to be clean, professional and cool all at the same time. We are helicopter pilots, and they like to feel cool. Theme needs to be aviation and helicopter related. 99% of the work we do is flying offshore in the north sea to oil platforms. The theme needs to reflect this as well. 2. E-mail / Support / Task Managment system As described above, our union needs a system like zendesk or equalent. We get mails in, with issues that needs to be solved, followed up, categorised and sometimes discussed internally by leadership of the board before we reply. Some mails might be company related, some member related and so on. Different categories. All board members, work rotation and we are always on the move. Different bases, off time, out flying = a good mobile solution connection to web solutions. (maybe app, we are big on apple) When someone is off, or on holiday, it must be a good system that gives the admin an easy way to see what has happened during he’s absence. We also need to be able to go back and look at archive, old cases that might need to be reopened. Members must have the option to file a case in 2 ways. 1. By using a form on the website 2. By sending a mail to a specific mail address. 3. FAQ section A faq section that will have the most asked questions and problems for our members 4. Newsletter / Surveys Easy way of making and sending out newsletter to our members. With an archive. To improve the dialoge between board and its members, we also want to have an easy way of creating surveys that is integrated into our web portal. Where we can find out what cases is important and what democratic way we can solve things on. The survey system needs to be able to archived and stored when completed. 5. Facebook We will not use a forum, as we concider this old school. We want to use social media. So good connection between webportal and our facebook group (For members only) 6. Document storage and overview. Our members needs access to collective agreements related to union work. Admins / board members needs to have a admin level storage. So a good easy overview where we can create different categories and have documents for download is a must. I also want to have levels of access to categories / folders so we can keep internal documents for board view only. 7.WEB-Shop We want a web shop in place, its not gonna be big. Its for members only. To be able to buy simple stuff as caps, t-shirts, bags etc with our union logo. To support the union and to get some nice apparel. Questions: 1. Price? 2. Which CMS system do you recommend and why? 3. Timeframe. If this project is a go we would need it completed and running by the end of September. 4. What systems would you recommend for email / task management system?
