Okay I'm looking for a solution to organizing our workflow here.
1) Customer Service Management
-Track & Change Order Status (Pre press, Printing, Cutting, Folding, Ready for Pickup, Shipped, Out for Delivery, etc. etc.)
-Create new customer accounts
-Create/Edit new orders, as well as allowing us to upload the print ready artwork for these that will sit in a folder and auto-name the file.
-Allow us to enter a price for orders in the new order page, as well as edit the price.
2) Take New orders and put them into a "Pending" Queue, which we will use to decide where the orders will be sent to print. (Whether we will print them in-house or if the job will be sent out to print)
-Allow us to do a Bulk Order Submission. So if we have a bunch of orders sitting in the pending Queue that will go to "XYZ" Printer, we can select all of those orders, and maybe Export, or Send the orders to the vendor. Currently we are typing all of the order details in excel manually, and saving the CSV in a special way for the printer to be able to take it, and import it into their internal system. We'll need to be able to send this CSV, along with the folder with all of the files. (I'm attaching a blank CSV so you see the type of information that will go into it.
3)Create a "Receiving" Page. Which will show all of the orders that were sent out to print. When we pick up all of the orders, I'd like to setup a computer in the back with they receiving page opened on it, so mark off each job that is complete, so it changes from the "Printing" status to "Finished Printing". Any Jobs that are selected as "Received" will go into a "Ready" Queue. In this queue we can see the full order details and split the orders that are going to be picked up, delivered via messenger, or sent via fedex/UPS. The pickup/messenger/ups/fedex information would have been submitted with the 'new job' form.
4) When jobs are received and we selected if its shipped etc. etc. I'd like the system to e-mail the customer to give them a status update.
5) I'd like to be able to import the new orders and sales into Quick books. If possible, it would be nice to be able to enter our costs for printing through our vendors into the system, so it also sends them a Purchase Order with a list of orders, and how much they cost. And we can use that to import into quickbooks as well, so we can keep a quickbooks tab of how much we owe.
Basically the way it work work is: A customer will : A) Email a print order to us and a Customer Service rep will submit it internally, B) A customer service rep will take a phone print order and submit it internally, C) Customer service rep will take an order placed through our web store and submit it internally.
The Customer service rep should be able to enter in the full specs of the print job, along with the artwork and it should go to a "Pending" queue, where the artwork and order will sit until the prepress/graphics department checks the files. Once the files are confirmed and print ready, as well as choosing which way they will be printed (Print internally and select which printer, or it will be outsourced and select which vendor, they will go into another queue which shows that they are okay to print.
While the order is in any queue, an admin who is logged in should be able to view the order, and enter in the Cost of the project (Only the admin can view the cost), but CSRs and Admin can enter or edit the sell price.
All outsourced jobs should sit in the print ready queue, and be able to filter the jobs based on which vendor they are going to. All internal jobs should sit in a queue of there own, so the graphics/prepress department knows what orders are pending printing. They should also be able to print a Job Ticket which shows all of the details of the job.
All our sourced jobs need to be exported via a CSV file and the files attached to it need to be zipped to be emailed to our print vendor. Screen Shots Attached.
