We are looking for an individual or organization that is able to help integrate our wide-range of existing business practices into one existing web-based experience.
Here is what we need:
A web-based managed database (SEO optimized) that will be accessed for
· Seminar/event registrations
· Product purchases
· Frequent email communication
The registration process for a paid seminar should be an online form that gives the database essential information on a secure server. It will contain the registrant’s Name, Address (street, city, state, zip code), Phone Numbers, email address, credit card information (number, expiration date, 3 digit code), referral information, payment plan options, date of transaction, and member user name and password. Once the member is registered, they must be able to access a Members Section on our site that is password protected. Finally, any special information must be noted in an optional “Notes” field. The registrant will automatically have a confirmation form email sent regarding the specifics of their registration (the individual’s first name and payment information as well as pertinent dates along with other information related to their registration). After that, the scheduled credit card payments will be done automatically at the time specified and confirmations of payments will be emailed automatically. If the payment does not go through, we want it to be retried every 24 hours and its status automatically emailed to the registrant.
The product purchases section is an important part of our site. We want it to be user friendly to the user as well as our administration for updating purposes. Anyone who purchases a product will automatically be added to our database (much like our registration information) for future purchases as well as regular email communication. The function of the online purchase would be that the individual browses the products, adds them to the shopping cart function, and purchases it using Visa, MasterCard, Discover, American Express credit cards or PayPal. This information will be saved on the secure server for ease of use for returning customers. The products should be categorized into “related items” in order to show similar items to the user.
We will want to utilize a user-friendly application for email newsletter blasts. These promotional emails will have HTML capabilities that include graphic placement and link management as well as basic word processing. It will have email list management integrated through the database and spam protection capabilities much like Constant Contact. All of our emails are from subscribers and we should be able to bypass any spam blockers with our emails. The emails should also be able to support any video emails we wish to send. We need to be able to email millions of people at a time as we grow.
Affiliate and referral tracking. Our business relies heavily on referrals and affiliate relationships. We need to be able to track all of our referrals and most importantly how much money or total health mastery gift certificate dollars we need to give to each referring party or affiliate. We have specific rules for affiliates and referring parties as to how much they receive and for what. This is a big part of why for EVERY order of any kind a referring party MUST be mentioned. We need the system to calculate what each referring party or affiliate receives each month and deposits the money into their account automatically or emails them the gift certificate as appropriate each month. As our online presence grows we will have larger and larger numbers of referrals and orders. Our system needs to be able to process tens of thousands of orders instantly. Some of our marketing initiatives may cause 1,000,000 or more hits to our site in a 24 hour period and can cause up to 10,000 or more sales.
