We are a Bakery Company that has 3 shops located apart of each other.
Each shop submits a set of information to the main headquarter every night after work hours (usually after midnight). The headquarter collects the info and processes it manually, and then submits the main order list for the next day to the chef (usually before dawn, just before work begins).
In fact, each shop has to submit 2 lists. Therefore, there are 6 lists to be collected every night. The 1st list has 54 items, and the 2nd has 84 items, a total of 138 item.
Those lists represent inventory lists of products that are left over at the end of the day. The point is to tell the chef that we have x number of this item left, so he should prepare y number for the next day. Numbers are agreed upon upfront. For example, if we set a max number of doughnuts of 30/day, and all shops reported that only 10 was left (collectively), then the system should make the calculation (30-10=20) and send the number 20 to the chef to prepare for the next day.
Sometimes, for certain products, we need to zero the numbers collected from the shops, because some items will not stay fresh to the next day and need to be discarded in the morning. Meaning whatever the shops send us stays for our record, and the system should make (30-0=30) instead of (30-10=20). This should be flexible to set up for all items.
On top of this, there is a set of special/custom orders that are managed by someone who receives direct orders from clients, and then submit them manually to the chef, as well.
Our challenges are:
• All this is done manually AND at late night hours, which makes it at a high risk of making errors.
• Our method is solely depending on WhatsApp groups, which is useless when someone forgets to forward a message to the other group(s).
• We expect to grow to more than 3 locations, which means more lists to collect, which is harder to handle in the current way.
We need to talk to a talented app designer to tell us what are some simple options that can turn our method to a more automated system that stores the info in one place that everyone can easily find, view, and share over their phone, tablet, or PC.
We also hope to link orders to Google Calendar, so they can automatically appear when an order is placed. (or if the new app has its own calendar that can be viewed the same way).
In addition, we seek a level of security, so not everyone can access the system. We should have the ability to register our members with a user name & password and to limit/block their access when they no longer work with us.
The system should easily adapt to printing reports through pdf or excel when needed and sharing via email or other Apps such as WhatsApp. Also can attach photos when needed.
Main language is English and Arabic (interchangeably).

The excel file is our main "order engine" dashboard that makes all the calculations. Please study how it links the lists together with the restaurants. Please note that there is a +/- column that helps us to easily and fast manipulate the outcome for whatever reason we want.
"20181202_Su" is our regular list that we send to the chef every day.
"20181202_Su_L" is our regular list that we send to our logistic personnel who has to deliver the items for all shops.
Note that the last two pdfs are already exist in the excel file, and we print/send them manually to the chef. We hope this could be automated in the new app.
