I am looking for a technical assistant or workflow builder to help me create a podcast content coordination system for my show, The ChatGPT Experiment. This is not a project to automate the recording or editing of the podcast itself. The episode audio production is already handled manually. The goal is to automate what happens after the final audio file and transcript are ready. I already have strong writing standards, templates, and Custom GPT-style logic for creating: • episode titles and summaries • article drafts • email drafts • social media drafts What I need help with is building the coordinator workflow that moves a finished episode through a structured process. The problem this project solves Right now, once an episode is finished, I still need to manually: • create show notes • create an article • create an email • create social posts • upload or stage content in Libsyn • create WordPress drafts • create a Mailchimp draft • keep track of what is ready for review The result is inconsistency. The episode gets finished, but the website content, article, email, and social content are not always completed on time. The goal Build a workflow that takes a finished episode package and turns it into a complete set of review-ready drafts, then, after approval, places the approved content into the right destinations as drafts or staged content. This system must support a human-in-the-loop approval process. Nothing should publish automatically. Workflow overview Inputs A new episode begins when I place an episode-specific folder into an Incoming folder. That episode folder contains: • final audio file • transcript Phase 1: Create review package The workflow should: • detect the new episode folder • confirm required inputs exist • determine the next episode number • use AI prompts/instructions to generate: • recommended title • backup title options • short summary • show notes • article draft • email draft • 2 to 3 social drafts • main angle • top pain points/themes • create an Episode Info Sheet • create a Status Note • place the generated review package into a Review Packages folder • send me an email notification that the review package is ready Review package contents The review package should include: • Episode Info Sheet • Show Notes / Episode Summary • Article Draft • Email Draft • 2 to 3 Social Post Drafts • Status Note Approval step After review, I will approve the package by moving that episode folder into a Ready folder. The Ready folder is only a temporary staging folder and should be empty again when processing is complete. Phase 2: Place approved content Once the approved folder appears in Ready, the workflow should: • create a draft in Libsyn with: • audio file • title • episode number • show notes • capture the Libsyn embed code • create a draft WordPress episode post using: • title • show notes • Libsyn embed code • episode category • create a draft WordPress article post using: • article draft • article category • create a draft in Mailchimp • copy social drafts into a shared Social folder • create or update an Output folder containing the final approved content package • update the status note • email me that all items are ready for final actions Folder structure The workflow should use this structure: • Incoming • Review Packages • Ready • Output • Social Each episode should live inside its own folder throughout the process. Important rules • Nothing should publish automatically • All platform items should be saved as drafts • The workflow must be reliable and easy to review • If one part fails, the system should log the error clearly and continue with other steps where appropriate • Email notifications are required at two key points: • when the review package is ready • when approved items are ready for final actions Existing assets I already have: • writing instructions • voice/tone/style guidance • prompt logic for title/summary generation • prompt logic for article creation • likely prompt logic for email and social creation I do not need help developing the content strategy from scratch.
