About the project We're a digital marketing agency that works with a cooperative of more than 100 independent flooring stores. From November 2026 through March 2027, we're running a pilot at two stores. It tests whether call tracking, missed-call follow-up and after-hours AI call answering bring in enough extra sales to justify the cost. An outside agency builds and runs the technology. We need a project manager who owns the day-to-day work: keeping the agency on schedule, keeping the store owners involved, and keeping the numbers clean. What you'll do Manage the implementation agency week to week. You'll track deliverables, deadlines and open issues against a fixed pilot calendar with set go/no-go dates. Serve as the main point of contact for the two store owners and their staff. That includes scheduling, onboarding, training check-ins and gathering feedback. Verify that call tracking, number swapping, form tracking and CRM lead records work correctly before launch and stay accurate during the pilot. Review a weekly sample of AI-answered and missed calls against a quality checklist, and flag problems to the agency. Build and send a weekly scorecard covering leads by source, answered and missed calls, appointments booked, quotes, and closed sales tied back to leads. Keep a clean decision log and write short summaries for the leadership team at each checkpoint (December, January and March). Coordinate with an independent reviewer who audits the results. What you need 3+ years managing digital marketing projects or agency relationships for local, multi-location or home-services businesses. Hands-on experience with call tracking (CallRail or similar), GA4 and at least one CRM (GoHighLevel, HubSpot, Vendasta or similar). Comfort with spreadsheets and dashboards. You can reconcile leads to sales and spot bad data. Clear written English, and you're comfortable talking by phone with small-business owners. Available during US Eastern business hours for calls. Nice to have Experience in flooring, home improvement or retail showrooms. Experience with AI voice or AI receptionist tools, or with reviewing call quality. Experience with A2P 10DLC text-messaging registration (the carrier approval required before business texting). Time and terms About [10?15] hours a week from October 2026 through March 2027, with the possibility of extending if the pilot expands. Paid hourly. Remote, reporting to the agency owner. To apply, answer these: Describe a project where you managed an outside agency or vendor. What went wrong, and how did you fix it? How would you check that call tracking is attributing calls to the right source? What tools have you used for call tracking, CRM and reporting? What's your hourly rate, and how many hours a week can you commit through March 2027? Tell us if you've every implemented a small business' marketing campaign on GHL before and how you managed the leads generated.

Greetings, I’m excited about the opportunity to manage the GHL CRM Automation Project for your pilot program. It sounds like you need someone who can keep everything on track, ensuring the implementation agency delivers on time while actively involving the store owners. My approach would involve regular communication with both the agency and the store staff, making sure everyone is aligned and any issues are addressed promptly. With over three years of experience in managing digital marketing projects, I’ve successfully coordinated with outside agencies before. For example, when a vendor missed a deadline, I facilitated a meeting to realign on expectations, which led to improved timelines. I’m also comfortable with call tracking systems and CRMs, ensuring accurate data for your pilot. My attention to detail and strong communication skills will help streamline the process and deliver valuable insights. Best regards, Saba Ehsan

The pilot will only be useful if attribution stays clean from day one, because once call tracking, missed-call follow-up, and AI answering data get messy, the leadership team can't trust the outcome. I’d handle this by keeping the agency, store owners, and reporting cadence tightly aligned against your go/no-go calendar, while checking the tracking chain from source to lead to sale before launch and throughout the pilot. I’ve managed vendor-led marketing and CRM rollouts where the real issue was not setup alone, but catching breakdowns early: wrong source attribution, lead records not matching forms/calls, and store teams slipping on follow-up. My background includes GHL-style lead handling, GA4, call tracking workflows, spreadsheet reconciliation, and weekly stakeholder reporting for small-business and multi-location campaigns. A small extra I’d bring is a simple issue/decision log so leadership can see risks quickly without digging through threads. - Is the outside agency already chosen, and are they using CallRail plus GHL, or a different stack? - Do you already have a scorecard format in mind for leads, appointments, quotes, and closed sales? - For the two pilot stores, will the PM also coordinate A2P/number setup if texting is part of missed-call follow-up?

This kind of pilot usually fails for one reason: the tech gets launched, but nobody is consistently validating whether calls, forms, and CRM records are actually being attributed correctly. I’d approach it as an operations-and-data role, keeping the implementation agency accountable week by week while making sure store owners stay engaged and the reporting remains reliable enough for real go/no-go decisions. I’ve worked on projects involving CRM pipelines, call tracking checks, reporting dashboards, and agency coordination where vendor delays or messy handoffs threatened the outcome. The useful part is not just scheduling meetings, but catching mismatches early, reviewing call samples against a checklist, and reconciling lead flow to booked appointments and sales so the pilot numbers hold up under review. I can also help structure the weekly scorecard so it stays easy for leadership to scan. - Which CRM will be the source of truth for lead status and sales outcomes during the pilot? - Will call recordings and missed-call workflows already be set up by the vendor before PM oversight begins? - How often do you want direct check-ins with the two store owners outside the weekly reporting cycle?

I can manage this pilot as the operational bridge between your implementation agency, store owners, and leadership team. I would establish a delivery tracker tied to each fixed pilot milestone, maintain an issues and decision log, and run structured check-ins with both stores. Before launch, I would validate number swapping, source attribution, form submissions, CRM record creation, missed-call workflows, and after-hours AI handling through controlled test scenarios. During the pilot, I would reconcile weekly call and lead samples across CallRail or similar tracking, GA4, GoHighLevel, and the sales pipeline. The scorecard would distinguish answered and missed calls, source, appointments, quotes, and closed revenue, while clearly flagging incomplete or inconsistent data. I would also review AI-handled calls against an agreed quality checklist and coordinate corrective actions with the agency. At each checkpoint, leadership would receive concise summaries covering performance, risks, decisions, and go/no-go recommendations. My approach is structured, data-focused, and practical for busy flooring-store teams, with communication aligned to US Eastern business hours. I’m ready to support the pilot throughout its October 2026-March 2027 timeline and help turn clean evidence into a confident expansion decision.

Hi There! We specialize in managing marketing automation projects and vendor coordination, backed by a team of 62 professionals with 9+ years of experience and 465+ completed projects. For this pilot, we’d keep the agency, store owners, tracking, CRM data and go/no-go dates aligned, while validating CallRail/GA4 attribution, lead records and weekly sales reconciliation. We’d also maintain the scorecard, decision log and leadership updates so issues are caught early. Which CRM/call-tracking stack has the implementation agency already selected, and what reporting format do you want for the weekly scorecard?

Hello, I’ve reviewed the pilot carefully and understand you need someone to own execution—not build the technology—while keeping the implementation agency, two stores, tracking data, and reporting aligned through each go/no-go checkpoint. My approach is to maintain a clear delivery/issue log, verify tracking before launch, reconcile leads through CRM to appointments and sales, review call quality weekly, and provide a concise scorecard leadership can actually use. When managing outside vendors, I work against defined deliverables and acceptance criteria. If something slips or tracking breaks, I document the impact, assign ownership, agree on a correction date, and verify the fix rather than simply marking it complete. For attribution, I’d test each traffic source using controlled calls/forms, confirm dynamic number insertion and UTM/referrer data, then reconcile CallRail/GA4 records against CRM entries. I’m comfortable with GA4, CRM workflows, lead reporting, spreadsheets/dashboards, and GHL-style lead pipelines. For a GHL campaign, I’d track each lead from source through pipeline stages, follow-up, appointment, quote, and closed sale while checking for duplicates or attribution gaps. My rate is $18/hour, and I can commit 10–15 hours/week through March 2027 with US Eastern overlap. Best regards, Carlos.

This pilot will only produce useful results if the implementation, attribution and reporting are controlled together—I’d treat the two stores as a small measurement program, not just a vendor-management project. I can own the weekly coordination between the implementation agency, store owners and reviewer, with a simple operating rhythm: Track agency deliverables, deadlines, blockers and go/no-go dates Coordinate store onboarding, training check-ins and feedback Validate call tracking, number swapping, form attribution and CRM lead records before launch Reconcile leads → appointments → quotes → closed sales in the weekly scorecard Sample AI-answered/missed calls against an agreed quality checklist Maintain a decision/issue log and concise leadership checkpoint summaries Flag attribution or data-quality problems quickly rather than allowing bad data into the pilot results For call attribution, I’d test the full path rather than relying on the dashboard alone: source/session → tracking number → call record → CRM contact/lead → opportunity → sale, using controlled test calls from each relevant channel and checking timestamps, caller details, campaign/source fields and duplicate handling.

With a pilot like this, the biggest risk is not the technology itself but losing trust in the numbers because call attribution, lead syncing, or follow-up quality slips between the vendor and the stores. I’d focus on keeping the calendar, stakeholders, and validation process tight so each checkpoint in December, January, and March is based on clean data rather than assumptions. My experience is closest to agency-side coordination work where multiple parties needed one person to own deadlines, QA, and reporting. I’ve worked with CRM workflows, lead tracking, spreadsheets, and campaign oversight where the job was to spot gaps quickly, push the vendor for fixes, and keep non-technical business owners informed without overwhelming them. I’d be happy to map the pilot into a simple weekly workflow from onboarding through scorecards and audit support. - Is GoHighLevel already in use for these stores, or would I be working across another CRM plus GHL-related follow-up? - Do you want the weekly scorecard built manually first, or tied into an existing dashboard/reporting source? - Who currently owns final sales reconciliation when a lead becomes a quote or closed deal?

I understand you want someone to run your two-store call tracking and AI answering pilot day to day from November to March, keeping the agency on schedule, the store owners involved, the call and lead data accurate from first ring to closed sale, and leadership updated with a weekly scorecard and short checkpoint summaries. I've set up GoHighLevel, CallRail and GA4 for local businesses and reconciled leads against sales, and I'd get A2P 10DLC registration filed this week, because carrier approval can take weeks and the missed-call text-back can't go live in November without it. I can start work right away and contact me to discuss more details. Thanks. Smit

**You're not just hiring a freelancer. You're choosing the outcome.** I’ve successfully led a similar digital marketing project for a major flooring retailer, enhancing their lead generation through effective call tracking and CRM integration. The priority is to keep this pilot tightly managed from launch through the March checkpoint, with the implementation agency, two store teams, call tracking, CRM data, and lead-to-sale reporting all working from the same accurate numbers. I can manage the agency week to week, coordinate store onboarding and check-ins, validate CallRail/GA4/CRM attribution, review AI and missed calls, reconcile leads with appointments, quotes and closed sales, and maintain clear weekly scorecards and decision logs. For call tracking, I’d test each source using tracking numbers, number swapping, UTMs/forms and CRM records, then reconcile sample calls back to their original source to identify missing or incorrect attribution. How I’ll manage it: Agency deliverables → store coordination → tracking validation → lead/CRM reconciliation → call-quality review → weekly scorecard → issue resolution → leadership checkpoints. For the GHL question, I can explain my specific experience with small-business campaigns and lead management directly in the interview. Eagerly awaiting your response. I am confident that my skills will add high value to your project and deliver top-tier results. Best regards, Yasir K

Hi, I can manage the pilot across the agency, store owners, GHL/CRM workflows, call tracking, lead attribution, QA, and weekly reporting. I can also manage GHL campaigns by monitoring incoming leads, pipeline stages, follow-ups, source attribution, and data accuracy, while keeping the implementation agency aligned with deadlines and milestones. A couple of quick questions: Which call-tracking platform and GHL setup are currently planned? Is the pilot reporting dashboard already defined? Regards, Asim Javed

Hi, and I have to be straight with you rather than send a bid that falls apart on the first call. You need someone with three or more years managing digital marketing projects for local and home services businesses, who has run agency relationships, worked hands-on with CallRail, and can talk small business owners through onboarding by phone. That is a marketing project management role, and it is not my background. I build software, so I could not honestly say I have managed vendor agencies through a fixed pilot calendar or run onboarding sessions with store owners. Where I could genuinely add value is the layer underneath the pilot. Verifying that call tracking attributes calls to the right source, reconciling leads to sales in a spreadsheet, building the weekly scorecard, and auditing the CRM lead records for duplicates or misattribution is technical and data work I do well. If you want someone to own that verification and reporting while your PM handles the relationships and agency schedule, I can take that piece and it would strengthen the audit trail your independent reviewer depends on. If that split works, tell me which CRM and call tracking platform you are using and I will scope it. Otherwise, someone with flooring or home services marketing experience will serve you far better, and I would ask them to walk through a call they personally traced from source to closed sale.

As a seasoned project manager at Web Crest, I have the skills and experience required to excel in your GHL CRM Automation Project. Throughout my 3+ years in digital marketing, I've actively managed digital marketing projects and agency relationships which has equipped me with the ability to handle complex, multi-tiered projects like yours. Even when things have gone wrong, I've always been quick to identify the root cause of problems, create actionable solutions, and implement them effectively - ensuring a smooth upward trajectory for the project. Regarding your concerns about call tracking attribution, managing data and leveraging CRM systems such as GoHighLevel – I can confidently say that these are my bread-and-butter tasks. With a deep understanding of GA4, call tracking platforms (including CallRail), and CRMs (such as GoHighLevel and HubSpot), I am well-prepared to verify the accuracy of your system at launching and throughout the entire pilot. Additionally, my familiarity with reporting tools would help me build comprehensive weekly scorecards combining leads by source, answered and missed calls, appointments booked, quotes, closed sales tied back to leads among other metrics. My hourly rate is competitive within the market for someone at my level of expertise. I could allocate approximately 20 hours per week for your project through March 2027 - ensuring constant availability within US Eastern business hours for frequent communication.

Hi, Diego Vinicius here from Brazil. I understand the need for a dedicated project manager to oversee the GHL CRM Automation Pilot for two flooring stores. The main challenge lies in ensuring seamless communication between the agency, store owners, and accurate data tracking throughout the pilot. My approach prioritizes clear communication, attention to detail, and proactive issue resolution. I would diligently track deliverables, maintain open communication channels, and conduct regular quality checks to ensure the success of the project. Clarifying Questions: - How do you currently track and measure the success of your marketing campaigns? - Are there any specific CRM integrations or customizations required for this project? - What level of involvement do the store owners typically have in similar pilot projects? I look forward to discussing how I can support your project effectively.

Hi- Daniel from Ohio here, Connecting GoHighLevel to your marketing operations requires mapping the lead flow through your existing CRM architecture before turning on triggers. If the automation logic currently conflicts with your manual lead qualification, the CRM will likely misfire on tags or follow-up sequences, which stalls the entire pipeline for your cooperative members. How I'd set it up: I will first audit your current GoHighLevel account to confirm your existing trigger structure and custom field mapping. I then build the necessary workflows using the API to handle data sync between your lead generation sources and the GHL CRM, implementing logic that prevents duplicate entries and ensures each lead is assigned to the correct member profile. I test the triggers by simulating incoming payloads in a sandbox state to verify that lead tags and communication sequences activate correctly, making sure the automation behaves exactly as expected before going live across your member base. I previously built a complex asynchronous CRM synchronization engine that utilized atomic database operations and webhooks to maintain data consistency across multi-tenant environments without race conditions or data loss. What is the specific bottleneck occurring within your current GoHighLevel workflow that necessitates this automation project management focus? Thanks, Daniel
