Operations Manager — Agency Momentum & Accountability (Full-Time, 8 Hours/Day, Mon-Fri) We're a performance-focused growth marketing agency running paid traffic and structured marketing systems for values-led businesses. The volume of client work has outgrown our informal systems. We have a capable team, a working process, and a tracker. What's missing is one person who creates momentum across all of it - so nothing stalls, nothing misses a deadline, and the founder can step out of day-to-day operations and back into sales, where the business actually grows. That's this role. The single measure of your success: the founder stops having to assign tasks, check quality, and chase follow-ups - because you're doing it. >Your Role In One Sentence You create urgency. You make sure everything is moving, deadlines are met, gaps are filled, and the founder is confident things will get completed without him having to check. >The Problem You're Solving The founder built this business and runs sales - that's where his time should go. Right now too much of it goes to assigning tasks, checking whether they were done right, and following up when things slip. The team is made of self-starters and the team lead communicates and assigns work well. What's missing is the accountability and momentum layer that currently falls on the founder. You own that layer. You are not here to build Gantt charts and hand off an SOP. We have a system. Your instinct when something isn't done should be to go make it done - not to build a chart about it. >What You'll Actually Do - Hold the whole picture. Know, every few hours, where every deliverable stands - what's moving, what's stuck, what's at risk. You don't need formal hourly check-ins, but you always know the state of play. - Create urgency. Drive every deliverable toward one of two finish lines: published, or sent to the client for approval (we aim to send approval requests 2–3 days before the due date so clients have time to respond and we publish on time). - Step in when things stall. Re-prioritize with the team lead, unblock a teammate, or fill the gap yourself. Don't wait for end of day. - Chase politely but relentlessly. If someone doesn't respond to an urgent item within ~20–30 minutes, you escalate - message, then call. You never assume they saw it. - Keep the founder confident with 4 brief updates a day. Short: what's on track, what's at risk and what you're doing about it, and any decisions only he can make (batched together, not one at a time). You don't wait to be asked. - Be the buffer. When a client or the founder is frustrated, you absorb it and return calm, warm, professional replies. You turn raw reactions into momentum. - Manage shifting priorities without friction. Priorities change often, driven by campaign results. When they shift, you move fast, give people the why, and keep things calm. - Solve internally first. Exhaust documentation, profiles, and teammates before interrupting the founder. When you do need him, it's one clear message: the ask, the why, and the timeline impact - then you keep moving. - Protect quality before things reach clients. Make sure deliverables are checked against each client's profile and routed for the right approval before they go out. >How You Work With The Team You're not replacing the team lead, who assigns and communicates work. You add the layer above it: watching deadlines, momentum, and gaps, and making sure nothing falls through. You're not checking up on anyone - you're watching the overall picture and keeping it moving. >Schedule Full-time, 40 hours per week (8 hours a day with breaks), Monday - Friday. You'll be reachable and responsive across the day (roughly 7am-7pm in our timezone), dipping in and out to check status, send messages, and create urgency. Much of this work is messaging, tracking, and pushing - by design. This is not heads-down deep-work; it's keeping a fast-moving operation on schedule. >Who You Are The personality matters more than the résumé. The right person is: - A driver, not just an organizer. You own outcomes, not tasks. You close loops without being asked and you can't stand a loose end. - Warm under pressure. Gentle in tone and relentless in follow-through at the same time. You make stressed people feel handled. - Comfortable creating friction politely. You can interrupt, escalate, and push back on a bad idea without being abrasive. - Low-ego and service-oriented. You're here to make the team and the founder look good - not to run your own show or collect credit. - Calm with ambiguity. Priorities shift constantly and we deliberately don't over-formalize everything. You thrive on judgment, not rigid process. - A clear, fast communicator. Brief, warm, and professional in writing; quick to pick up the phone when a message chain is too slow. You'll struggle here if you're conflict-avoidant, need a perfectly stable process to function, get rattled by interruptions and changing priorities, or want recognition and authority. This is a support-and-amplify role - its power is in keeping everyone else moving. >How To Apply Send us: 1. A short intro (5–8 sentences) describing a time you took a scattered, behind-schedule set of tasks and personally drove them to completion. Tell us what you did to create momentum - not what system you set up. 2. A 2-minute answer to this scenario: A teammate hasn't responded to an urgent request in 30 minutes, a client is frustrated in an email thread, and the founder is in back-to-back sales calls. Walk us through exactly what you do, in order. (We're reading for judgment, tone, and follow-through.) 3. One sentence on this: what would make you genuinely good at a role where your job is to make other people's work finish on time? If you're a calm, proactive finisher who can keep a fast-moving agency on schedule and let the founder focus on sales, we'd love to hear from you.

This role resonates with me because much of my career has been spent creating momentum across multiple projects, stakeholders, and deadlines. In my previous role supporting the CEO of an education company, I helped manage admissions, recruitment, outreach, marketing, and program operations simultaneously. During periods of rapid growth and team restructuring, priorities shifted constantly and projects could easily stall. My role became ensuring that tasks moved forward, following up with team members and external partners, resolving blockers, communicating next steps, and maintaining visibility over critical deadlines until deliverables were completed. If a teammate didn't respond to an urgent request within 30 minutes, I would follow up directly, escalate via call if needed, and identify alternative paths to keep the project moving. At the same time, I would acknowledge the client's concerns, communicate calmly, provide realistic expectations, and work toward a resolution without waiting for the founder. Any decisions requiring leadership input would be consolidated into one concise update outlining the issue, options, and timeline impact. What makes me effective in this type of role is that I naturally close loops. I don't like leaving things unresolved, and I take ownership of making sure work reaches completion rather than assuming someone else will follow up. Looking forward to learn how my skills and background would help contribute to your firm's growth.

Hi, I’m interested in this role because it closely matches my experience coordinating teams, tracking priorities, and ensuring work gets completed on time. In my previous role, I supported managers and operational teams while handling multiple priorities, deadlines, and ongoing projects. When tasks fell behind due to changing priorities or communication gaps, I proactively followed up with stakeholders, clarified priorities, escalated urgent issues when needed, and tracked progress until completion. My focus was always on creating momentum, removing blockers, and keeping management informed. Scenario: If a teammate hasn’t responded to an urgent request for 30 minutes, I would send a follow-up message and then call directly. At the same time, I would acknowledge the client’s concern professionally and let them know the matter is being addressed. If the founder is in sales calls, I would avoid interrupting unless a decision is required, gather the necessary information, keep work moving, and provide a concise status update with actions taken and any decisions needed. What makes me good at this role? I naturally take ownership, follow through consistently, and enjoy closing open loops so projects stay on track and deadlines are met. I’d be happy to discuss how I can help keep your team moving and allow the founder to focus on growth. Kind regards, Andri

Hi, I’m a strong fit for this role because my experience in virtual assistance, customer support, operations coordination, and project management has taught me how to create accountability, maintain momentum, and ensure deadlines are met without constant supervision. A recent example was supporting a fast-moving operation where client requests, follow-ups, and administrative tasks were falling behind due to shifting priorities. I took ownership by tracking progress, following up proactively, resolving blockers, reprioritizing urgent items, and keeping stakeholders informed until every deliverable was completed. The value I added wasn’t a new system—it was making sure the existing system actually moved. Scenario: If a teammate hasn’t responded to an urgent request in 30 minutes, I would follow up immediately, then escalate through another channel or call if needed. At the same time, I’d acknowledge the client, reassure them the issue is being handled, gather any needed information, and keep things moving. If founder input is required, I’d send one concise update with the issue, options, and timeline impact. What makes me genuinely good at this role is that I own outcomes, not tasks. I close loops, follow through consistently, communicate proactively, and can’t stand seeing important work stall. My goal is simple: keep everything moving so the founder can focus on sales and growth, confident that deadlines, quality, and follow-ups are being handled. Best regards, Zam K.

It's clear you're not looking for someone to manage tasks. You're looking for someone who creates momentum, closes loops, and gives you complete confidence that everything is moving while you're focused on sales. That is exactly how I work. Hello, I'm Francis. I have over seven years of experience supporting founders by owning day-to-day operations without constant supervision. I naturally stay on top of priorities, follow up relentlessly but respectfully, identify blockers early, and resolve issues before they become problems. I believe communication should be proactive, concise, and solution-focused, bringing only the decisions that genuinely require your attention. I have experience using Asana, Trello, Slack, Google Workspace, and AI tools. A time I earned a leader's trust was when I leveraged AI tools and implemented structured task tracking via Asana. By doing so, we reduced administrative overhead, improved accountability, and freed up the CEO's time for strategic work If a teammate became unresponsive, I'd follow up privately, escalate appropriately if needed, keep the client informed with a calm and professional update, and only interrupt you if a decision truly required your input. One sentence that describes why I'd excel in this role: I take personal ownership of outcomes until every loose end is tied up. A quick question: • Which project management platform currently serves as your operational hub? Best regards, Francis

Hi, My name is Iffat, and I enjoy bringing structure and momentum to fast-moving projects. In a previous project involving multiple deadlines and competing priorities, I noticed tasks were falling behind because nobody was actively tracking progress and following up consistently. I took ownership of monitoring deliverables, checking in with team members, clarifying priorities, and ensuring blockers were addressed quickly. Rather than waiting for issues to escalate, I proactively followed up, coordinated communication, and kept everyone focused on the next critical action. This helped the team complete outstanding work on time and reduced delays caused by miscommunication. I am naturally organized, proactive, and comfortable taking responsibility for keeping work moving until it is fully completed.

Hi, 1. A time I drove scattered tasks to completion: At ValueBridge Consulting, I was brought into an engagement mid-stream where three workstreams were behind and the client was losing confidence. There was no single owner. I mapped every open item, assigned clear next steps, and held brief daily check-ins that lasted no more than 10 minutes. I didn't build a system — I made calls, sent follow-ups, and sat with teammates until things moved. We delivered on time. The client renewed. 2. The scenario — teammate unresponsive, frustrated client, founder in sales calls: First, I message the teammate directly with a clear, time-stamped ask and a 15-minute response window. While waiting, I draft a calm, warm holding reply to the client acknowledging their concern and giving a concrete next step with a timeframe — no vague promises. If the teammate hasn't responded in 20 minutes, I call. I don't wait for end of day and I don't interrupt the founder unless I've exhausted every other option. If I must, I send one message: the situation, what I've already done, and the single decision I need. Then I keep moving. 3. What makes me genuinely good at this: I close loops instinctively — a loose end bothers me more than the conversation required to close it.

Hello, My name is Saipul, and I am highly organized, dependable, and proactive when it comes to keeping tasks on track. In previous experiences, I have managed multiple responsibilities at the same time, ensuring deadlines were met even when priorities changed unexpectedly. When tasks became delayed or scattered, I personally followed up, organized priorities, and maintained communication until everything was completed. I enjoy bringing structure, accountability, and momentum to ongoing work. If a teammate has not responded to an urgent request for 30 minutes, a client is frustrated, and the founder is busy on sales calls, I would first review the situation and identify the most urgent issue. I would acknowledge the client's concern immediately, update them that the matter is being handled, then attempt multiple methods to contact the teammate. If there is still no response, I would find an alternative solution or involve another team member to prevent delays. Finally, I would document actions taken and update all stakeholders to ensure nothing falls through the cracks. What makes me genuinely good at this role is that I take ownership of unfinished work and consistently follow through until tasks are completed on time. Thank you for your consideration. I would be excited to contribute to your team's momentum and accountability. Best regards, Saipul
