We use SharePoint Online as part of Office 365.
We have a SharePoint Document library containing various company policies as word documents.
We have a workflow setup that will automatically send an email with a task to every member of our team to ask them to confirm that they have read each document if it changes or if a new document is added to the library. This works OK for us, we achieved this by modifying the included Approval Workflow.
However this doesn’t work for a new starter, we need another Workflow that we can manually start against the Document Library that creates and emails tasks to read every document contained in the library (one email/task for every document) for the new starter.
Each email needs to contain a link to that particular document and the task link.
When the task link opens it should have a button to confirm that the document has been read.
We should be able to track the progress of the new starter by a column added to the library that states "In Progress" against the documents they haven't read yet and "Approved" against the documents that they have read. Once the new starter has read all the documents we are happy to remove the Workflow from the library to leave it looking neat.
This very like the setup we have we just need it to loop through all the documents in the library.
