Both tenants and landlords will complete matching profiles (templates). The initial focus will be on the "Facility" niche, with plans to expand to other client pools in the future. The site will integrate with IDX, MLS, or a similar platform. The Three Interfaces 1. The Landlord Using a designated template, landlords will input pertinent property details and upload photos of their listings. Required details: Zip code, rent, number of bedrooms and bathrooms, washer/dryer availability, and whether utilities are included. Descriptions: Landlords must provide a brief description of the unit, the building, and the neighborhood. Photos: Uploads are required for each room and the front exterior facade. 2. The Tenant Using a matching template, tenants will enter their housing requirements and preferences: zip code radius, rent range, and the required number of bedrooms and bathrooms. Matching: The system will display all matching properties in descending order based on compatibility. Price range is the primary matching criterion, followed by location and then room count. Selection: Tenants will select their top 15–20 choices and submit them in preferential order. (This volume is required so that if properties are taken off the market before a showing, the system can auto-fill the queue with the next available choices.) Routing: The list is automatically delivered to [login to view URL] (GSC), the office manager, and the assigned agent. Agent Action: The agent contacts the landlords to gauge interest and schedule showings. The agent will email an introductory letter to the client within 24 hours of the client's first login, followed by a phone call within 24 hours thereafter. For safety, the agent will always accompany the client to showings. 3. The Agency Local branches, regional directors, and [login to view URL] will have administrative access to the entire site to verify that agents are following established processes and protocols. Transactions: Where legal, the platform will utilize e-signatures for lease contracts and a Point of Sale (POS) system for initial deposit payments to lock in leases. Site Requirements for Developers: Phase I Management & Tracking Capabilities Communication: Track and read all email correspondence between the landlord and the agent, and the agent and the tenant. All system correspondence must be BCC'd. Automated Outreach: Send an automated company introduction email to the tenant upon their first site visit. Compliance Verification: Verify that the agent's introductory email is sent within 12 hours of the automated company intro. Verify that the agent's introductory phone call occurs within 24 hours of their initial email. Moderation: Monitor the tenant bulletin board/chat room and actively block landlord access to it. Agent Tools: Maintain an "Agent's Notepad" for each tenant, continuously updating pertinent information. Provide a shared calendar to track agent-landlord meetings and showings. Include a client profile to track tenant needs and act as a concierge reference (e.g., birthdays, anniversaries, spouse/partner names, kids' names, hometown, and full application info). Include auto-pop-up calendar reminders for special client dates. Live Updates: Feature a crawler announcing when other tenants have submitted matches or signed leases. Basic information should autofill from the original registration. Registration: Includes email sign-up/in, user verification, Tax ID (for background checks), and phone number. Privacy: Location details will use area names or ZIP codes (no specific addresses displayed publicly). Listing Creation: Landlords will post properties themselves using a short-description template. They will use radio buttons/checkboxes ("dot-fill") for: Neighborhood and/or zip code Number of rooms and bathrooms Laundry (In-unit, building, or none?) Public transit access Parking availability: street, lot, or garage? Pet policy Rent amount and available date Broker fee: A checkbox asking if they are willing to split the broker fee. This fee is refunded as part of their deposit if the report returns clean. Site Requirements for Developers: Phase III Tenant Registration & Search Interface Onboarding: After receiving a link from the recruitment source, the tenant signs up using an email or a provided access code (to be changed to a company email later). The acceptance letter will include the link to the site. Search Engine: Similar to current real estate sites, the tenant will access an MLS/IDX-style interface to search for housing. Search Methods: Zip code Neighborhood link Radius point on a map (ideally, a combination of a custom-drawn radius and zip code) Required Tenant Questionnaire Tenants will use radio buttons/checkboxes ("dot-fill") to input their requirements: Financials: Rent range and housing allowance (Base of $750, escalating in $250 intervals). Do they want to live with or near people with similar focuses? Community & Additional Features Roommates: An exclusive bulletin board or chat room for tenants to find potential roommates. The system should match potential roommates based on a registration matrix. Neighborhood Data: The site will feature 5 to 10 links that tenants can use to research neighborhoods, culture, social life, demographics, and rental prices (e.g., links to area demographics, maps, and walkability scores). Accountability: An "Exit Grade" for landlords or management companies, accessible only by tenants and agents, and monitored at both the branch and national levels.
