I run a small printing company that specialize in very fast turnarounds on small to large print jobs. We currently have a hard time keeping track of the amount of orders that arrive via email on a daily basis.
We have a few different ways that our customers can submit jobs but all of them result in an email being sent to our team email address. This team email address is simply a distribution list that distributes the emailed order out to each memebers Inbox.
With everyone looking out for jobs arriving via email it's hard to know who has "grabbed" what and started working on it. So many times and email comes in with attachements and we find that two people start the process of printing out the email, copying over the files to our file server and reading the work order. Then a few minutes later those two people meet up at the printer and realize they had both spent 5 minutes preparing the new order for printing.
We need to have a way to assign due times to our emails and have the line items change colors as the due time draws near.
We need a way to flag emails, on hold, in progress, done, etc.
We need to be able to keep track of people that have changed the status of the job. So if I stepped away from my computer for a minute and return to my utlity I can see that Shawn grabbed the two orders that just arrived.
We need to be able to access the same data from about 6 different computers at once.
I think we need a utlity that looks like an Outlook Inbox but that has more features. Flagging is cool in Outlook but don't do enought (what's the difference between a blue and purple flag after all). I don't know if it would be better to make some sort of custom email client that access a shared database or a client/server database utility that would just pull information from our POP3 account and enter it into the database (like what [url removed, login to view] offers).
We don't want something super advanced just functional and reliable.
