I need a Zapier-based workflow that watches my Gmail, detects which project or person an email relates to, and then sends the relevant details into an existing Google Sheets time-sheet. Here’s what has to happen. First, the Zap must reliably find and sort messages by project. For some projects I use tidy subject-line tags, but at other times the naming isn’t consistent, so I will rely on your logic—labels, keyword rules, or any smart parsing you prefer—to catch the outliers. Second, I often search mail threads by a client’s or colleague’s name, so the same Zap (or an additional path) should group mail under that person’s name as well. Finally, once a message is classified it needs to be pushed into my pre-built Google Sheet: date-stamp, project or name, subject line, and a brief snippet in the correct columns of the time-sheet tab that’s already there. Zapier’s native Gmail and Google Sheets actions will probably cover most of this, though I’m fine with Paths, Webhooks, Code by Zapier, or any other tools you prefer if they help handle the inconsistent naming. Deliverables: • A working multi-step Zap (or set of Zaps) that auto-sorts Gmail by project and by name search • Clean hand-off: a short Loom or written walkthrough that shows how to adjust the filters or keywords • Test run proving the sheet is populated correctly from at least three sample emails If something in the flow could be improved or simplified, let me know—I’m open to tweaks as long as the end result is hands-off sorting and a reliably updated time-sheet.
