Looking to have same features/capabilities as existing website. The site is [login to view URL] You should be able to sign up for a trial with to dig deeper. Starting points would be the Agent side and the Customer side. The agent side should have permissions that can be set to individual agent level, team level, transaction coordinator level and admin level. Individual sees only their transactions, teams can see all transaction for team members, transaction coordinators are sort of like teams but will be able to select members from either office to oversee all their transactions and then admin who has full access. The public side should be very simple and the general theme of it should be a graphic that shows the beginning of the process all the way to a finish line where they light up along the way as milestones are completed — pre-approved, under contract, past inspections, financing approved, closed etc. For a listing side, it should be Home listed for sale, contracts received, contract accepted, inspections approved, financing approved, clear to close, and closed. In their portal, they should have access to the documents relative to their transaction and have a place to send us messages, upload documents, and it should notify them anytime a document is added or a milestone is completed. On the broker side, it should have a setup like Realty Back Office’s transaction management side. The main functionality should be a list of all of the files and they can filter these by active, pending, sold and also by agent name, date added, date closing, etc. It should be highly filterable. When you drill into any file, it should have the transaction details, a place to input all appropriate dates (contract date, escrow due, inspection date, financing deadline, survey and title deadline, closing date etc). Those dates should populate a workflow template that has tasks for the agents to complete to ensure the files are completed properly. There should be a financial tab there where the agents can enter their commissions and they should be able to track these somehow in a reporting system in the back end. The tasks should be set so they can complete the tasks and they go into a review status and then an admin goes in and reviews the task. The final component for the first draft of this program should be a built in e-signature platform that complies with Florida e-signature law and has an audit trail. This project will be on-going, long term.
