Executive Assistant for Operations and Communications We are seeking a skilled and organized Executive Assistant to support in many tasks related to operations management, communications, and client engagement. This role offers flexible hours. If you’re punctual, organized, proactive, and a self-starter in the tasks listed below, we'd love to hear from you! Responsibilities: 1. Video Uploading: - Upload videos to various platforms including our website, Teachable portal, Google Drive, and Vimeo. 2. Organization: - Efficiently organize files and documents in Dropbox for easy access and management. 3. Transcription: - Edit and optimize course videos and marketing materials. - Transcribe group call recordings, client meetings, interviews, and webinars. 4. Managing Operations + Internal Communications: - Write and update Standard Operating Procedures (SOPs) for all processes. - Maintain response libraries in Google Docs, Notion, etc. - Update dashboards and meeting notes. - Manage storage files across Google Drive, Dropbox, and OneDrive. 5. Collecting Client Testimonials + Feedback: - Reach out to clients for feedback and testimonials. - Create and compile testimonials, case studies, and motivational stories. - Manage forms and surveys for collecting customer feedback. 6. Managing Email Correspondence: - Organize inbox and respond to emails using provided templates. - Record new FAQs and responses. - Assist with sending greeting cards, invitations, newsletters, and invoices. 7. Calendar Management: - Manage and schedule important events, client meetings, and appointments. 8. Community Engagement: - Monitor and respond to comments and messages on Slack and Facebook groups. 9. Appointment Setting: - Respond to inquiries about group coaching programs via email, DMs, and social media. 10. Managing Slack Channel: - Create engaging content and facilitate discussions in our private Slack channel. Requirements: - Previous experience as an Executive Assistant or in a similar role. - Excellent communication skills, both written and verbal. - Proficiency in video uploading platforms (Dropbox, Vimeo, etc.). - Strong organizational and time management skills. - Ability to work independently and meet deadlines.
